Organizational Background

The Marcia Brady Tucker Foundation (MBTF) is a private family foundation established to carry on the philanthropic legacy of Marcia Brady Tucker. Rooted in a longstanding family commitment to charitable giving, the Foundation brings together multiple generations to support organizations aligned with its mission of giving back. The Foundation manages approximately $14 million in assets and awards roughly $500,000 in grants each year. Its Membership consists of approximately 40 adult family members spanning multiple generations, who elect the Board of Directors to govern the Foundation. The Foundation supports a diverse portfolio of charitable organizations through two annual board-approved grant cycles (with in-person Board meetings) and a robust member-match program that funds roughly 130–150 charitable gifts each year.

Position Summary

The Marcia Brady Tucker Foundation seeks an organized, personable Administrator with strong communication skills to provide the day-to-day administrative, financial, and logistical support that allows this volunteer-led family foundation to operate smoothly. This is a half-time salaried position and the Foundation's only employee.

Reporting to the President and working closely with the Directors, committees, and Members, the Administrator serves as the Foundation's central point of coordination. Responsibilities include maintaining records and financial documentation, supporting the grantmaking process, organizing the Foundation's twice-yearly meetings, and communicating regularly with members who represent a wide range of ages, locations, and backgrounds. The Administrator carries out the decisions of the Board and works closely with Members and outside professionals (CPA, investment advisors, legal counsel, and insurers) to ensure the Foundation operates in accordance with its Bylaws, its Statement of Purpose, and applicable law.

This is a hands-on administrative role rather than an executive leadership position. The role calls for someone who can work independently and proactively, exercise sound judgment and discretion with sensitive information, and bring steadiness and good humor. The workload follows a seasonal rhythm, with concentrated activity around the two annual meetings (April and October) and the December member-match and year-end period, and with a lighter pace in between.

Responsibilities

The Administrator provides broad operational support across the following areas:

Administration and Coordination
  • Oversee the Foundation's day-to-day operations, keeping them organized, on schedule, and running smoothly.
  • Support the President, Board, and committees, and manage the Foundation's records, calendar, and deadlines.
Grants and Financial Administration
  • Administer the Foundation's grantmaking across its board grant cycles and member-match program, processing grants from approval through payment.
  • Manage the Foundation's budget and accounts, track expenditures, and maintain accurate financial records, preparing clear, timely financial reporting for the Treasurer and Board.
  • Coordinate with the Foundation's accountant on tax filings and financial statements and help safeguard the Foundation's financial controls and compliance.
Meeting and Event Coordination
  • Plan and manage the Foundation's two annual meetings, including venue selection, logistics, and on-site coordination. The Administrator will travel to these meetings (typically Wednesday-Sunday trips).
  • Build and maintain reliable vendor and venue relationships, ensuring continuity from year to year.
Communication and Member Relations
  • Communicate clearly and professionally with Members, Directors, and grantees.
  • Support a multigenerational membership with varied backgrounds and preferences, handling all communication with discretion and confidentiality.
Technology, Website, and Records Management
  • Advance the Foundation's technology, website, and record-keeping, modernizing administrative processes while continuing to support Members who prefer traditional methods.
  • Maintain accurate, well-organized records, including governing documents and the membership directory.
Professional Qualifications and Experience

The successful candidate should possess the following experience and qualifications:
  • Bachelor's degree, or equivalent combination of education and demonstrated professional experience.
  • Minimum of 5 years of progressively responsible administrative, nonprofit, or financial/operations experience, ideally including work with a foundation, family philanthropy, or membership organization.
  • Working knowledge of basic accounting, bookkeeping, and payroll processing, with experience in budget tracking and the accurate processing of grants, payments, and expense documentation.
  • Ability to read tax returns and audited financial statements for both the Foundation and its 501(c)(3) grantees, with familiarity with investment reporting and the language of asset management.
  • Familiarity with the regulatory environment for private foundations, or the demonstrated capacity to come up to speed quickly with the support of professional advisors.
  • Strong proficiency with technology, including databases, spreadsheets, document-management systems, standard office software, and website support or coordination.
  • Excellent written and verbal communication skills. The ability to communicate clearly and professionally with Board Members, grantees, and other stakeholders is a must.

  • Willing to travel twice annually and be available evenings/weekends during the two peak annual cycles.

Compensation

The Foundation offers an annual salary of $50,000 to $55,000 for this half-time position, commensurate with experience and qualifications. The position is performed remotely, with travel required for the Foundation's two annual meetings. The Foundation reimburses travel expenses and ordinary business costs, including office supplies, software, and continuing education.
